Virtual presentation: what does it mean for me as a presenter?

The information provided below is for those who have already had an abstract accepted or are a speaker in an Invited Session.
All presenters (i.e. first authors) must be registered for the congress and registration fees must be paid in order to guarantee publication in the eBook of Abstracts for the 26th ECSS Virtual Congress 2021. The deadline for payment is 14 June 2021.
The 26th ECSS Virtual Congress 2021 is a virtual congress that is made available to delegates through their ECSS account. Below is a breakdown of each presentation format and further details can be found beneath:

PRESENTER GUIDELINES FOR EACH PRESENTATION FORMAT:

Plenary Symposia

  • Plenary Symposia will be presented in a live stream format during the congress using the Webex platform. We have a technical team in place to provide support before and during the event
  • On the day, your session will be opened by our technical team
  • Each session will have a ‘Waiting Room’ which will open 15 minutes before the session begins
  • A representative from our technical team will contact you to organise a test session and help with any queries you may have
  • There will be no live Q&A with the audience. Instead, there will be a ‘Chatroom’ where session participants can leave a question or comment
  • The discussion between the Chair and Speakers should be prepared in advance

Invited Symposia

  • Invited Symposia will be presented in a live stream format during the congress using the Webex platform. We have a technical team in place to provide support before and during the event
  • On the day, your session will be opened by our technical team
  • Each session will have a ‘Waiting Room’ which will open 15 minutes before the session begins
  • A representative from our technical team will contact you to organise a test session and help with any queries you may have
  • A chat/discussion board facility will be provided during each session for registered participants to comment on or discuss your presentation
  • There will be no live Q&A with the audience
  • The Chair will announce the Chatroom facility at the beginning of each session and may choose to use questions brought forward in the chatroom in the discussion with the presenter
  • Invited Sessions are 20 minutes plus 8 minutes of discussion
  • Your live streamed session will be accessible to all registered participants through their ECSS account until the end of 2021

Oral Presentations (message board debate)

  • Oral Presentations are to be pre-recorded as a video (MP4) by the speaker
  • The length of your video should be no more than 10 minutes
  • You will be able to upload your video from your ECSS account using the upload system of the congress. The platform will open on 1 July and close on 20 August
  • Your video should be uploaded to your ECSS account by 20 August 2021
  • Your video will be played to the audience during the congress at an allocated time. Unfortunately, there will be no Q&A
  • Instructions (“how-to-record-a-video”) and tips for creating a video are available here
  • A ‘Message Board’ will be available for all participants to leave a comment specific to your presentation 
  • Your video and the ‘Message Board’ will be available to all participants via their ECSS account during the congress and until the end of 2021
  • Please include your contact information in your presentation

Conventional Posters (message board debate)

  • Conventional Poster presentations are to be pre-recorded as a video (MP4) by the speaker and submitted along with a PDF file of the poster
  • The format is PDF in ‘landscape’ (horizontal) orientation, 16:9
  • Two options for presenting:
    a. Video recorded presentation of the poster (ie presenter being filmed by a colleague while presenting the poster). Maximum 3 min.
    b. A maximum of 3 slides (no animation) with a voiceover by the author on an MP4 file. Maximum 3 min.
  • You are not required to be visible in your video presentation
  • You may use the same 3 slides in your PDF and video recording
  • Instructions (“how-to-record-a-video”) and tips for creating a video are available here
  • You will be able to upload your video and PDF file from your ECSS account using the upload system of the congress. The platform will open on 1 July and close on 20 August
  • Your video and PDF file poster should be uploaded to your ECSS account by 20 August 2021
  • Please remember to provide your contact information so that spectators can contact you
  • A ‘Message Board’ will be available for all participants to leave a comment specific to your presentation
  • Your video and the ‘Message Board’ will be available to all participants via their ECSS account during the congress and until the end of 2021

E-Posters (not debated)

  • E-Posters must be pre-uploaded in advance of the congress via your ECSS account
  • The format is PDF (one slide only) in ‘landscape’ (horizontal) orientation, 16:9
  • Number of pages (slides): one (1)
  • E-poster file size is a max of 2 MB
  • Minimum suggested font-size: 24 (20 for references)
  • For embedded images prefer .jpeg or .png file formats in a resolution of 72 or 96 dpi
  • Make sure your text and background have a large contrast
  • Do not use animated effects, “animations” and videos
  • There will be no formal presentation time slot and no formalised discussion time
  • A ‘Message Board’ will be available for all participants to leave a comment specific to your E-Poster
  • Please include your contact information in your submission
  • Abstracts accepted in this format will be published in the eBook of Abstracts
  • The platform will open on 1 July and close on 20 August
  • Your E-Poster and the ‘Message Board’ will be available to all participants via their ECSS account during the congress and until the end of 2021

YIA Oral Sessions

  • The YIA Oral presentations will be live-streamed during the congress using the Webex platform. We have a technical team in place to provide support before and during the event
  • YIA presentations are 10 minutes maximum plus 5 minutes minimum of questions and answers
  • On the day, your session will be opened by our technical team
  • Each session will have a ‘Waiting Room’ which will open 15 minutes before the session begins
  • A representative from our technical team will contact you to organise a test session and help with any queries you may have
  • The Chair of your session is a member of the ECSS Scientific Committee or Scientific Board
  • The chair will open the session, you will give your presentation, and then there will be 5 minutes of intensive discussion between the speaker and the appointed opponents
  • There will be no live Q&A with the audience
  • When all YIA oral sessions are finished, four finalists will be selected. They should present again via live stream at the end of the congress. The four finalists will be contacted by ECSS staff and the names will be displayed on the congress website
  • The final decision of the 1st, 2nd, 3rd, and 4th prize will be announced shortly afterward during the closing ceremony
  • Your live streamed session will be accessible to all registered participants through their ECSS account until the end of 2021

YIA Poster Sessions

  • A presentation of your YIA Poster is to be pre-recorded as a video (MP4) by the speaker and submitted along with a PDF file of the poster
  • The format is PDF in ‘landscape’ (horizontal) orientation, 16:9
  • Two options for presenting:
    a. Video recorded presentation of the poster (ie presenter being filmed by a colleague while presenting the poster). Maximum 3 min.
    b. A maximum of 3 slides (no animation) with a voiceover by the author on an MP4 file. Maximum 3 min.
  • You are not required to be visible in your video presentation
  • You may use the same 3 slides in your PDF and video recording
  • Instructions (“how-to-record-a-video”) and tips for creating a video are available here
  • You will be able to upload your video and PDF file from your ECSS account using the upload system of the congress
  • The platform will open on 1 July and close on 20 August
  • The evaluation will be based on the abstract, video, and poster
  • An announcement will be made on Friday 10 September during the closing ceremony for 1st-4th place
  • A ‘Message Board’ will be available for all participants to leave a comment specific to your presentation
  • Your video and the ‘Message Board’ will be available to all participants via their ECSS account during the congress and until the end of 2021
  • Please remember to provide your contact information so that spectators can contact you
